When your child is struggling and you need to bring in extra support, the last thing you need is more confusion. Our mission is to make you and your student’s life less stressful - not more! That’s why we’ve outlined the steps in the academic coaching process as well as some of the results you can expect. And while each child is unique and the plan we create will be customized to them, here’s how it all works in a general sense:
Step 1: The assessment
The process starts with a call to learn more about your situation and where your child is at - their strengths, weaknesses, and how it’s affecting you and your home life. We know how stressful having a struggling student can be on the entire family, and we take a holistic approach in our coaching.
This call typically lasts about an hour, but by the end, we can usually give you a picture of what grade level your child is at and what some of the issues might be. We’ll discuss the next steps and a tentative plan of action.
After this call, we’ll conduct an initial assessment with your student to find the areas that are causing confusion for them. These assessments are a complimentary part of our process - from here, we can both determine if it’s a fit to move forward.
Step 2: Developing a preliminary plan
Based on the findings of the initial assessments, we’ll match you with a coach who will best fit your needs and they’ll develop a preliminary plan to get started. We find that rather than just picking up wherever they currently are in school, going back and filling in the gaps in knowledge is a better long-term strategy for success.
It’s important to understand that depending on where your child is at, it may take some time to get them caught up and seeing tangible grade improvements. But we will be honest and transparent with you about realistic goals and what it will take to move forward.
Step 3: Adjustments as needed
As we get to know your child, we almost always identify deeper habits or thought processes keeping them from success that aren’t always readily apparent in an assessment. That’s why we call it a preliminary plan! We are also able to identify triggers and experiment with techniques and methods to help them overcome these obstacles.
Throughout the entire coaching process, we’ll stay in communication with you to ensure needs are met and progress is being made.

Most tutoring and academic coaching companies use an assessment to determine what level program to start in.
We use our own uniquely designed assessment to create a customized intervention for your child.
We think of learning gaps like a sponge - Our assessment allows us to identify those holes in learning and fill them so your child can succeed academically long term.
What Makes Our Assessment Different
We use a combination of standardized testing plus customized assessment to determine your students’ gaps in learning.
Because of the complexity of our assessments, they can only be conducted by experts in the educational field. We custom create these assessments to help your child fill in the gaps for long term learning.
This also allows us to measure academic growth over time, which also helps your child build confidence in their learning abilities.
How the Assessment Works
All of our students start with our signature assessment process, which allows us to identify exactly why your child is struggling academically. Through this assessment process, we get to the root, so that we can provide parents with specific recommendations for what to do next.
Some parents choose to have their child work with us one on one afterwards, where as others take this information to DIY their student's academic progress. While some other tutors use testing for gradelevel placement, we are the only tutoring company that uses testing to identify exactly why your child is struggling - and we create a customized academic plan to help your child get reach their academic growth goals.
In other words, others use testing to identify what grade level your student is at, whereas we use a specific kind of assessment to understand exactly why your child is at that level, and create a plan to help them achieve rapid academic growth.
Each assessment usually takes an hour to complete and is facilitated by our certified teachers, who are also making notes about your child's learning to provide the right recommendations and next steps.
What Happens After The Assessment
After the assessment, our teem meets to discuss your child's results and what exact learning targets need to be addressed for your child to reach their growth goals.
Once we analyze the assessment and discuss a plan of action, we will speak with you again to discuss the assessment results and recommend which package the best fit based on your child's needs and goals. We will recommend what level of intervention is needed and what to focus on based on the results.
Most of our students begin working with us for 2 hours a week (virtually).
Once you choose your package, our staff then creates individualized lesson plans to work with your child and combine it with our academic coaching.
If you decide not to work with us in a 1:1 setting, that's ok too. We are able to direct you to resources and recommendations to help your child.
Assessment Pricing
We offer testing for reading and math (we also help students with writing, but we start with assessing their reading levels first, as reading level precedes writing level.
We utililize a few different tools in both the reading and math assessments to identify learning gaps and specific academic needs. Some of these assessments cost money for us to access per child, which is one of the reasons we charge for our assessments.
We also pay the certified teacher that administers the assessment, and the assessment pricing also includes the time we meet to analyze the assessment results and observations and come up with the recommended next steps.

An academic coach acts as a bridge between you, your student, and the school - connecting the dots to help you understand exactly what is expected, setting goals to meet or exceed those expectations, and coaching you through the challenges school struggles create at home. Unlike in a traditional classroom setting, a coach has the time and expertise to get to know the student individually and implement creative strategies that engage the student and get them excited about learning.

We specialize in difficult cases and have experience with the unique needs of homeschool and military families. Despite how dire the situation may seem, most struggles can be resolved through 1:1, personalized instruction from an academic coach who will develop a custom plan based on the student's needs and learning style.

What’s the difference between K-8 and 9-12 coaching?
You may be wondering if your high school student could benefit from academic coaching. Moving from middle to high school is a big transition, and what kids needed help with when they were younger typically changes as they go through adolescence.
Younger students often need help building confidence and handling obstacles. They are still learning how to study and prepare for the tests - something they are expected to know but aren’t usually taught to do. An academic coach helps with these habits as well the practical math, English, and science skills.
Once they begin high school, the challenge becomes staying organized. School gets a little tougher (especially if they are prepping for college), they want to spend more time with friends or possibly working a part-time job, and sports and extracurricular activities can be more demanding.
As they begin exploring college and career options, continuing to develop good habits and learning to find balance is incredibly important. An academic coach can help your student with time management and keeping their schoolwork high priority, in addition to helping with specific math, English, and science questions and challenges they may have. Also, since we are certified teachers, we know how to observe a student to learn the small shifts needed to help them succeed.

Most franchises hire hourly staff to help your child, meaning that they actually aren't trained in teaching your child. And, even if you're working with a teacher after school or during the summer, most teachers do not have the specific expertise in helping struggling students to fill in learning gaps. And, we have yet to find another tutor, teacher, or program that has an assessment that identify exactly why a child is struggling. (many programs use assessments to place your child into a grade level, but these assessments are not showing why a child is behind, and they aren't used to curate a specific lesson plan.)

How We Get Results
It's super easy to get started with us. Here are the steps:

Complete Targeted Assessment
Your child completes a targeted assessment that we have compiled, which allows us to identify exactly why your child is struggling academically. We make it fun for the kiddos - and this takes about 1 hour to complete.
We do charge for our assessments because a certified teacher that is trained in academic coaching administers the assessment, and, they are trained in building a relationship with your child so that they are comfortable with online learning, and, they are actively observing your child to take notes about their learning style. We also have to pay for a few resources for each test, so the cost of the assessment is to pay for supplies and pay the teacher.

Our Team Follows up with Parents/Guardians
We meet with you to discuss your child's results from the assessment. We share with you their strengths, any challenges, and any learning gaps that we were able to identify. We also provide you with recommendations for next steps. This includes either DIYing your next steps at home, or continuing with us in 1:1 Academic Coaching.
You will know exactly what your child needs next to succeed academically. Most parents choose to continue with us since we are certified teachers and can get your child to where they need to be quickly. Most of our students work with us for 2 hours per week. Some parents choose to add more hours, or, there are many homeschool parents who completely outsource their academic instruction to us.

Our academic coaching starts at $85/hour, with a 2 hour minimum per week. This is the most common package that yields the fastest results for our students. We do offer larger packages for parents who homeschool and want to completely outsource to us.
How we chose this pricing: All of our coaching staff are certified teachers who also specialize specifically in academic growth. We price our services to ensure that they are compensated for their years of education and experience, plus the extensive time and energy it takes to prepare individualized lesson plans based on your child. We also want to retain this high quality team, and we compensate our teachers competitively so that they are able to support our students and their own families.
And, as with all industries, most industry leaders charge more than the average competition. We are not your average college kiddo or school teacher offering a few tutoring lessons after school. And we definitely aren't your cookie cutter franchise, who hires NON teachers to tutor their students.
We also get results more quickly, and so we find that over time, parents are saving money by working with us for a few months, rather than spending years in tutoring or a franchise company (with no actual results).

What’s the difference between an academic coach and a private instructor?
In a nutshell, many tutors focus on the issues with grades and schoolwork directly, whereas an Private Instructor is focused on the learning processes and the root causes of learning struggles. When this is properly addressed, it not only helps the surface issues with grades and schoolwork but it empowers and equips students to become confident, independent learners. At what age should a child have a private instructor or a tutor?
We offer coaching starting at the kindergarten level, and we believe that’s the earliest it should begin. All children develop at different rates, and we need to respect and honor their individual paths. Kindergarten is typically the point in time when you would start noticing any red flags that suggest your child might need extra support.
How do I know when my child needs a private instructor or a tutor?
Families should seek support when their student is behind their peers, when they express frustration with their classes or a general dislike of school, or when they have a lack of confidence or fear/anxiety around it. Prior to beginning any academic coaching program, we’ll do a thorough assessment to learn where your child is at and then recommend a course of action. It’s possible a traditional tutor will fit your needs, and we’ll always be transparent about whether or not academic coaching is a fit for you. You can learn more about how our process works here.
Is hiring a Private Instructor worth it? Will it really help my child?
Students who receive extra support from a Private Instructor consistently report an increase in confidence and motivation at school. Many of our clients tell us that working with us has changed their child's entire school experience. Grades are just the beginning - our mission is to get them excited about learning, give them the confidence to handle new challenges, and change their attitude toward school. How much Instruction does a child need? How long will they need to be in your program?
Similar to working with a personal trainer, the more frequently you meet with your Instructor, the faster you will see results. We suggest starting with a minimum of twice a week to jump-start the learning process. Then when the child has made significant growth, it may be appropriate to move to once a week. Many students benefit from a long-term Instructor arrangement, but the length of time is dependent on each child’s unique situation. We do find that students are with us for about 6-12 months on average.
How do you plan what to work on?
Much of this work begins with the initial assessment we perform prior to working with us. We are able to gauge where your child is at and provide some preliminary thoughts on what you can expect and how we would proceed. After the assessment, we prepare a preliminary plan that gets us started, but this plan is typically adjusted as we get to your know child and learn more about the mental component of what’s holding them back. In every case, the approach is personalized and tailored to your student - there’s no “one-size-fits-all” plan. You can learn more about our process here.
What happens in a session? Do the parents watch?
Unlike a traditional tutoring session, we try not to spend the time working on homework - although that can be part of it. We like to focus on the bigger picture concepts that are keeping them from understanding and completing the assignments. Depending on your child’s specific needs, struggles, and triggers, we may play a game or do other activities designed to help them understand concepts in a way that appeals to them and gets them excited about learning.
What are the computer requirements to participate in online tutoring?
Sessions are conducted via Zoom, which can be accessed via a computer or tablet. While many parents are nervous about virtual instruction, we find from working with over 300 students that kiddos enjoy working with us from the comfort of home. We are also able to access more resources virtually, which means that we can move on to more activities and lessons as your child makes progress. We also pay close attention to building rlationships with all of our students - it is our goal to make our instruction lessons fun enough that kids are excited to work with us!
How can you see what they're doing on their paper?
Using Zoom's shared screen feature, the student and the instructor are able to write on the same screen. If the child has a worksheet from school they need help with, we’ll have you take a picture and send it prior to the session. The teacher can then share the image with zoom, and both write on it together.
Is there homework or things we need to work on outside of the sessions?
We’ll recommend ways to reinforce and encourage what we cover in our sessions, but “homework” outside of the sessions is not required. That being said, you can typically see results more quickly if you encourage healthy academic habits (like reading for pleasure ) in your everyday lives.
Do you help homeschool students?
We are completely supportive of the homeschooling community and have helped many homeschool families over the past few years. In fact, they make up about half of our business! We believe that the public school system in many areas is broken and that each child is an individual and should be educated as such. If you have the ability to homeschool your children and that’s the right choice for your family, we want to support you! What qualifications do your teachers have?
Each of our instructors is a current or former classroom teacher with bachelor’s degrees and in some cases, advanced Master's degrees. They became private instructors so they could reach students more directly in a one-on-one setting, creating a personalized plan of action that they weren’t able to offer in the classroom.
